Abstract

Amgueddfa Cymru require expert advice and support in assessing options for a virtual contemporary art experience that can be accessed remotely by people either at home, an educational setting or in a designated place or places of AC-NMW’s choosing. The chosen company would then be tasked with implementing AC-NMW’s preferred option outlined in the initial report. The overarching deliverables are: • An initial report on options for a virtual contemporary arts experience that would integrate with AC-NMW’s systems. This report would consider and result in: o What comparable organisations are currently doing or have done to deliver a similar virtual experience o An assessment of the strengths and weaknesses of those virtual experiences o An outline of the likely future of virtual experiences and the mass consumer technology or online platforms used to access them, to ensure future-proofing, longevity and ongoing use of AC-NMW’s eventual solution o What proposed solutions could work with AC-NMW’s current digital infrastructure and proposed new digital infrastructure o The views and input of key AC-NMW stakeholders o The findings of a recent consultation with the general public and key demographics o Other digital, innovative projects currently or shortly underway at AC-NMW (e.g. the intended digital mapping of galleries on AC-NMW sites) and how this project could and should integrate with those (and vice-versa) o This report would conclude with three recommended options to deliver a workable solution by December 2022 (if only in pilot form), with three options reflecting a low, a mid and a high-cost solution, with corresponding aspirations. o This report will have to be delivered by the end of February 2022. o Note: the solutions suggested should ultimately be rooted in supporting the new website and its use • A full, costed project plan to implement AC-NMW’s preferred option. This plan will be: o AC-NMW’s preferred option out of the three proposals from the initial report. o Submitted by end of March 2022, signed off April 2022, and the resulting product will be launched December 2022. o A clear checklist of product specification for review and eventual sign-off. o Clear KPIs and timelines for the various stages of development and build o Identifying responsibilities on the delivery of the project, including what outputs are needed from AC-NMW itself and by when. o Fully risk-assessed with a risk register and suggested contingency plans o Consolidated with a budget breakdown of the different elements of implementation • Delivery of project plan/launch of product, in time for the new Contemporary Arts website launch (December 2022) Various elements of the core website project will inevitably feed into the look, tone and feel of the virtual experience. Description of the goods or services required

The overarching deliverables are:

• An initial report on options for a virtual contemporary arts experience that would integrate with AC-NMW’s systems. This report would consider and result in:

o What comparable organisations are currently doing or have done to deliver a similar virtual experience

o An assessment of the strengths and weaknesses of those virtual experiences

o An outline of the likely future of virtual experiences and the mass consumer technology or online platforms used to access them, to ensure future-proofing, longevity and ongoing use of AC-NMW’s eventual solution

o What proposed solutions could work with AC-NMW’s current digital infrastructure and proposed new digital infrastructure

o The views and input of key AC-NMW stakeholders

o The findings of a recent consultation with the general public and key demographics

o Other digital, innovative projects currently or shortly underway at AC-NMW (e.g. the intended digital mapping of galleries on AC-NMW sites) and how this project could and should integrate with those (and vice-versa)

o This report would conclude with three recommended options to deliver a workable solution by December 2022 (if only in pilot form), with three options reflecting a low, a mid and a high-cost solution, with corresponding aspirations.

o This report will have to be delivered by the end of February 2022.

o Note: the solutions suggested should ultimately be rooted in supporting the new website and its use

• A full, costed project plan to implement AC-NMW’s preferred option. This plan will be:

o AC-NMW’s preferred option out of the three proposals from the initial report.

o Submitted by end of March 2022, signed off April 2022, and the resulting product will be launched December 2022.

o A clear checklist of product specification for review and eventual sign-off.

o Clear KPIs and timelines for the various stages of development and build

o Identifying responsibilities on the delivery of the project, including what outputs are needed from AC-NMW itself and by when.

o Fully risk-assessed with a risk register and suggested contingency plans

o Consolidated with a budget breakdown of the different elements of implementation

• Delivery of project plan/launch of product, in time for the new Contemporary Arts website launch (December 2022)

Various elements of the core website project will inevitably feed into the look, tone and feel of the virtual experience. However, at the time of writing, these are still being developed internally. By end of March 2022, the following will be decided:

• Branding/Style Guide

• API integration systems with AC-NMW databases

The organisation hired for this work will not be expected to be involved with the following, which will be developed by our internal team or another external contractor. However, there will be some dependencies for the virtual solution:
