Velindre Cancer Centre (VCC) is the specialist cancer centre serving the South East Wales region. Every year, the cancer centre treats thousands of patients at its Whitchurch Hospital site and from satellite centres located within health board premises.
The centre has a number of channels for communicating with its stakeholders; the website is one of its most important. Individuals visit the VCC website for information on a wide range of topics, from patients seeking information on their diagnosis and treatment, to members of the local community who wish to learn more about plans for the creation of a new Velindre Cancer Centre in north Cardiff.
As with all websites, the VCC website aims to be an accessible resource that clearly signposts users to the information they require and provides them with a positive user experience.
To support this and in recognition of the fact many visitors to the site are looking for specific information relating to their symptoms and treatment, VCC is creating a chatbot to live on the website.
The chatbot is named RITTA, based on the name of a popular Velindre receptionist (and also an acronym for a Realtime Information Technology Towards Activation system). RiTTA will support cancer patients, carers, families, and staff in a way that offers complete accessibility, empowerment, and 24/7 advice about Velindre services.
It aims to provide a resource to support having good quality conversations anytime, any place and anywhere. Currently, patients, carers and families often struggle to access helpful, high quality information to support their choices and decisions about their emotional, psychological and physical wellbeing.
Through the person-centred design thinking process, Velindre has aims to further develop RiTTA to be the world’s best intelligence enabled virtual assistant, trained in oncology.
To achieve our ambitious aims for RiTTA, the Velindre Innovation Team is initially focusing on making the first experience of patients as informative as possible. RiTTa is being programmed to respond to common queries and to signpost users to relevant information on the VCC website.
To enhance the underlying content within the chat bot, VCC wishes to appoint a creative agency to produce short ‘talking head’ videos with key contacts across the Centre. These contacts will range from clinical staff who will give important information about the services they provide, to managerial staff who will give information on plans for future development of the Centre. Each video will be approximately a 2-minute piece to camera, set against a VCC related backdrop.
The videos will all live on the VCC website and will be programmed as destinations to which users could be directed during their conversations with RiTTa.
VCC wishes to appoint an agency to plan, film and edit the videos.
We currently estimate initially between 80 – 100 videos will be required, and names and details will be provided to the successful bidder. With support from the Innovation Team, the agency will be expected to propose and manage a filming schedule that enables the videos to be captured in a timely manner.
As the videos are intended for use on the VCC website, they should be shot in sufficiently high quality that the visual and audio are clear and professional.
Each video will require scripting support, subtitles and translation to enable use on English and Welsh websites.
