II.2.4) Description of the procurement
Architectural services to undertake further detailed design work for a Proposed Extension to an existing Extra Care Facility known as ‘Llys Awelon’ located in Ruthin where a contract for preparing designs and supplying a detailed report for an initial Option Appraisal for the site, participating in consultation meetings with Client and User Groups, preparing further design options for a range of different potential design scenarios, providing a computer rendered video presentation, developing designs for the option of temporary residential accommodation on the site, resolving planning and technical requirements for a temporary catering facility located on the existing car park and providing full architectural services for RIBA Work stages 1-3 including the submission of a Planning Application for the proposed extension and the securing of Detailed Planning Permission, has already been awarded.
The further detailed design work forming part of this contract award notice comprises the following:-
- Completion of designs to RIBA Work stage 4A
- Providing technical advice and monitoring of Enabling Works Contract.
- Inspection of Enabling Works on site.
- Preparation of an NBS Tender Specification document to ensure that all key data on finishes and materials is incorporated where necessary including consultation with Client, other consultants and product manufacturers.
- Preparation of Room Data Sheets to ensure that all key data on finishes and materials is considered including consultation with Client and other consultants.
- Designing additional works to Llys Awelon Phase 1 following review by Fire Consultant.
- Completion of detail design and architectural working drawing package.
- Dealing with remaining planning conditions and discharge of the same, collecting information provided by others on behalf of the Main Contractor/Client.
- Setting out plans and provisional digital co-ordinates to allow building, parking and external works to be accurately positioned on site.
- Preparation of detailed building plans, sections and elevations; development of all key architectural construction details and schedules required to secure technical approvals. These are prepared in Revit/CAD referring to Engineer’s design.
- Clearing/discharging Planning Conditions and preparation of Building Regulations package and submission to Local Authority on behalf of the Main Contractor.
- Assisting Main Contractor with design coordination and attending monthly Design Team Meetings. Attending meetings with the Main Contractor/Consultants related to design co-ordination and attending Monthly Site Meetings during construction stage. (Site inspections will be carried out by the Client’s Clerk of Works/Contracts Officer).
- Liaison with Employer’s Agent, Client and Main Contractor’s representatives, Engineers and other consultants employed by the Main Contractor.
- Co-ordinating design works with reference to the designs of other consultants appointed by the Main Contractor.
- Provision of contract drawings at project commencement and later as-built drawings on behalf of the Main Contractor in electronic/hard copy on building completion.
- Providing electronic copies of construction and design drawings in pdf/dwf format and where necessary DWG format to the Main Contractor’s appointed engineers/designers.
- Provide Professional Indemnity Insurance.
- Entering into novation and collateral warranty documentation to recognised industry standard.
- Assisting Main Contractor in dealing with Planning and Building Regulation enquiries throughout construction period and forward statutory approvals.
- Review Main Contractor’s final Landscape planting schemes and schedules for planting and maintenance.
- Liaison with Main Contractor, Client, Employer’s Agent, BREEAM Assessor to provide technical support and evidence in relation to architectural items.
