Description of the contract

Life Sciences Hub Wales requires the provision of effective and affordable Business Travel and Accommodation booking services, seeking to appoint a supplier on the basis of value-for-money (the optimum combination of quality and cost).

Life Sciences Hub Wales intends to appoint a single supplier to provide Business Travel and Accommodation services to the business. The service must be all encapsulating and provide for all of Life Sciences Hub Wales’s travel and accommodation requirements, to include as, minimum, the following:

- Rail travel;

- Hotel accommodation;

- Air travel;

- Car hire; and

- Any other ad-hoc requirement which may arise in relation to business travel and accommodation need during the course of the agreement.

All travel and accommodation requirements must be bookable by Life Sciences Hub Wales staff via an online portal, and the service must have functionality that enables multiple booking requirements to be completed in the same order (for example, linked air travel, car hire and accommodation in a single booking / order).

As well as providing an online booking system portal the successful supplier must also offer offline booking options, such as via telephone and/or email, to be used should the online portal not be available for any reason.

The required travel management and booking solution (both online and offline) must be configurable to meet the policy requirements and obligations of the Life Sciences Hub Wales Travel and Subsistence policy.

The requirement includes the need for both domestic (UK) and international travel.

Additional desirable functionality to be made available as part of the required travel and accommodation management and booking service includes, but is not limited to, the following:

- Taxi hire/booking;

- Airport parking; and

- Event space booking.
