II.2.4) Description of the procurement
The scope of this framework agreement allows for the provision of photocopiers, printers and multi-functional devices in order to provide print, scan and copy functionality. This includes consumables and a variety of finance options for the machinery.
This also includes software solutions such as follow-me and pull printing as well as providing members with device management software capabilities to monitor their existing fleet, so they have an up to date understanding of how they are printing and how it can be improved.

Duration in months: 12
The current PfH print and multi-functional device solutions expires on 14 August 2020. The process to retender the framework commenced in January 2020, however due to uncertainty following the Covid-19 crisis in the UK it is clear that a number organisations within this market have temporarily ceased trading and have indicated they will be unable to submit a response to the tender.

Section VI: Complementary information
VI.3) Additional information
The current PfH print and multi-functional device solutions framework was awarded in August 2016 for an initial 2 year term with optional extensions of two further 12-month periods. These optional extensions were both applied and the current contract is due to expire on 14 August 2020. The process to retender the framework commenced in January 2020 with a PIN issued to the marketplace to start engagement, however due to uncertainty following the acceleration of the Covid-19 crisis in the UK with concern over staff absences and business priorities being focused elsewhere the process came to a natural pause. Additionally, with the announcement on the 23rd March and the imposition of significant business restrictions it is clear that a number organisations within this market have temporarily ceased trading and have indicated they will be unable to submit a response to the tender.
PfH is committed to providing high quality frameworks that are competitive, offer the best products and services and provide access to suppliers with in depth experience and knowledge of the industry. In order to ensure we can continue to offer a high quality product PfH intend to extend the current framework under Regulation 72(1)(c) for a further 12 months. As there remains significant uncertainty as to how long the Covid-19 crisis will continue and the inevitable disruption as business returns to normal we believe a 12-month extension will allow the industry to stabilise and ensure the future tender process is competitive. PfH confirms that the modification does not change the overall nature of the contract and the modification will not exceed 50 % of the original contract value.
