Supplier Engagement Event – Invitation to Attend
The Authority invites interested suppliers to attend an engagement event at Defence Medical Services (DMS) Whittington to present and demonstrate their products and associated services.
Supplier Eligibility Criteria
Suppliers wishing to participate in this engagement activity should be able to demonstrate that they are actively involved in the provision of high-fidelity medical simulation equipment and/or associated support services relevant to the anticipated requirement.
Supplier eligibility criteria:
- Supply, manufacture, distribute, maintain or support high-fidelity medical simulation manikins and associated training technologies.
- Be capable of demonstrating products, services or solutions relevant to Defence medical education and training requirements.
- Be able to provide information regarding the functionality, support arrangements and through-life management of their proposed solutions.
- Have the necessary authority to discuss technical and support aspects of their products and services during engagement sessions.
The purpose of this event is to provide the Authority with an opportunity to gain a greater understanding of the solutions currently available within the market. The event will consist of interactive demonstrations and discussions between suppliers and MOD personnel.
Event Format
• Each participating organisation will be allocated a 90-minute session to introduce, demonstrate and discuss its products and services.
• The sessions will be conducted in an interactive format, enabling MOD personnel to engage directly with suppliers, observe demonstrations, and ask questions.
• The Authority will provide suitable rooms equipped with standard IT facilities.
• Session timings will be allocated once attendance numbers have been confirmed and will be dependent upon the number of participating organisations.
Please note that attendance at this engagement event is intended for suppliers with demonstrable capability and experience relevant to the provision of high-fidelity medical simulation manikins and associated support services. The Authority reserves the right to limit or decline attendance where the eligibility criteria are not met or where participation is not considered relevant to the objectives of the engagement activity.
Confirmation of Attendance
Suppliers wishing to attend should confirm their interest by emailing ana.cotfasa100@mod.gov.uk and providing the following information:
• Short introduction of the company and goods/services provided.
• Full names of all personnel who will be attending the site. (Maximum of 2 persons per supplier due to space considerations)
• Details of any equipment that will be brought onto site, including any presentation materials (e.g. PowerPoint presentations or other supporting media).
• Vehicle registration number(s) for any vehicles being used to access the site.
Any questions relating to the event should also be directed to the above email address.
Site Access Arrangements
Following confirmation of attendance, suppliers will be provided with:
• An allocated presentation time slot.
• Site joining instructions.
• Registration requirements.
• Escorted access arrangements for entry onto the site.
Important Information
Please note that attendance at this supplier engagement event is entirely optional. Suppliers who are unable to attend will not be excluded from, or disadvantaged in, any future procurement activity associated with the requirement.
Deadline for Registration
The deadline for confirming attendance is:
10:00 (UK Time) on Monday 17 August 2026.
Requests received after this deadline will not be considered. This is due to the limited availability of both time and space on site, which must be carefully managed to ensure the event can be delivered safely and effectively.
Participation in this engagement activity does not constitute any commitment by the Authority to enter into a contract, nor does it form part of any procurement process.
