Life Sciences Hub Wales wish to procure access to an online platform which can host all of its events going forward. It is intended that this be a one-stop destination to manage registration, attend, and access resources related to our events programme.

As well as hosting Life Sciences Hub Wales’s ongoing events programme, there is a requirement for capability to host larger multi-day conference-style events.

[As an example, Life Sciences Hub Wales may host an online edition of the Tomorrow’s Health conference. The conference may be hosted over four days with each day having a standalone

theme, but existing under the umbrella and brand of Tomorrow’s Health 2021.]

Life Sciences Hub Wales requires an online software platform to act as a virtual venue, including capabilities to manage delegate bookings and tracking, as well as hosting a range of content types and formats.

Life Sciences Hub Wales requires a platform that is both easy to access and easy to use. Full details of requirement is provided in the Invitation to Tender document (Section 13. Specification).

As per the Invitation to Tender document:

Life Sciences Hub Wales’s Events programme falls into two types of events. The scope and scale

of events, as well as indicative number of events over the year and attendees, is provided below:

1) Online programme of smaller-scale events throughout year:

Format and functionality:

Estimated number of events: 30

Estimated average number of registrations (per event): 150

Estimated average number of attendees (per event): 100

2) One to two multi-day conferences during the year:

Estimated number of events: 2 (1 x two-day event and 1 x four-day event)

Estimated number of sessions per day: Up to 6

Estimated average number of registrations (per event): 1,800

Estimated average number of attendees (per event): 1,000

3 Conditions for Participation

Minimum standards and qualification required

Tenderers are required to complete and return a Mandatory Requirements Qualifying Questionnaire to self-certify that their platform solution can provide the Mandatory Requirements.

Unless otherwise stated, the Mandatory Requirements Qualifying Questionnaire is Pass/Fail, Life Sciences Hub Wales reserves the right to disqualify any Tenderer that cannot provide any of the Mandatory Requirements.
