Description of the goods or services required

Wyeside Arts Centre (WAC) is seeking to appoint a suitably experienced and qualified Arts Business Consultant led multi - disciplinary consultancy team to deliver an innovative, visionary and creative feasibility study.

This scope of services is for an Arts Business led consultant team service, with the successful Arts Business Consultant either having the required services in-house or engaging the remainder of the Team as sub consultants. The Client will therefore have a single point contact with the Arts Business Consultant.

3.1

Minimum standards and qualification required

THE ROLE OF THE ARTS BUSINESS CONSULTANT

The Arts Business Consultant as lead consultant will be required to provide all of the services outlined in the description of services above and also lead, coordinate and manage the catering/hospitality and retail consultant services to achieve the WAC business aims and objectives or, sub consult the necessary services

8.1 Core Requirements

• Undertaking detailed discussions with WAC Steering Group Client Project Manager and key stakeholders to gain a complete understanding of the organisation, its business aims and objectives, and its key present and potential future business activities.

• Undertake a review of the client’s strategic brief and any other relevant information available to the business team on appointment.

• Undertake an analysis of the draft design team brief and report on the likely success factors of the current redevelopment aspirations and recommend possible refinements from an inspirational, forward - looking business strategy perspective.

• Provide an interim business strategy report with recommendations as to what physical redevelopment options, from a business perspective, should be pursued with the incoming design team and why.

• Provide a final business strategy report covering a minimum three -year period post development that is innovative, entrepreneurial and sustainable in the light of declining levels of public funding, and is the driving force behind any and all concept designs and redevelopment proposals.

• Work closely with the appointed design team to ensure that design proposals are coordinated with, and supported by, the agreed strategic business strategy.

• Undertake a business benefits analysis taking into consideration the revenue implication of the preferred design concept option.

• Attend necessary design progress and Steering Group meetings as scheduled by the WAC Steering Group and Client Project Manager.

• Deliver a robust business led feasibility study in conjunction with WAC steering Group, project manager and design team that can be used as a catalyst for generating a future funding strategy.

• Proposals and analysis of business viability of WAC main building re-development options to include recommendation on retail, catering and hospitality models, and any other sustainable business activity.

• Proposals and analysis of business viability of off - site workshops re-development options such as creative industries/business studios, rehearsal spaces or any other appropriate uses.

• Assess the cost and operational impact of various re-development strategies such as complete closure and redevelop or phased works and within a possible phased programme an assessment of specific business priorities for development.

• Undertake consultation with key stakeholders.

• Undertake public consultation / audience research that will identify and liaise with both existing and potential new user groups.

• Lead catering/hospitality and retail consultants to inform the revised business strategy, redevelopment proposals and feasibility study.

• Advise on an effective fundraising strategy to realise the full or phased capital project

• Full analysis of staffing requirements and income targets for the main WAC building and workshop business proposals.

• Full analysis, recommendations and costings on WAC and workshop branding.

• Liaison with relevant local & regional relevant businesses and tourist attractions to assist forward planning.

9.0 THE ROLE OF THE CATERING/HOSPITALITY/RETAIL CONSULTANT (S)

The Catering/Hospitality/Retail Consultant(s) will be required to liaise with the Arts Business Consultant (lead consultant), the client team and design team and provide all of the services outlined in the description of services above.

9.1 Core Requirements

• Support the Arts Business Consultant to delivering forward thinking catering and hospitality services advice.

• Seek comparative catering /hospitality/retail analysis with reference to similar arts centres within and outside Wales.

• Draft a catering / hospitality/ and retail business strategy as part of the overall feasibility study.

• Provide innovative catering /hospitality and retail advice creating an all-encompassing customer experience at WAC.

• Provide inspirational catering/hospitality and retail branding and marketing advice.

• Undertake analysis of anticipated profit and loss for the preferred redevelopment options and new facilities.

• Review proposed new customer offerings for WAC and report on the likely success factors and give advice on alternatives.

• Work closely with the design team and offer professional catering/hospitality /retail design advice on kitchen layouts, display facilities, bars, new performance spaces and other design proposals.

• Review scale/size of storage requirements throughout the concept design process.

• Report on equipping & furnishing the new catering/hospitality and retail facilities throughout the concept design process

• Give detailed advice on the staffing structure needed to operate new facilities.

• Suggest menus, efficiencies and suppliers.

• Advise on markets and promotions.
