We want to learn how we can stand-out from the crowd and be comfortable with our chosen market position. Description of the goods or services required

Awen Cultural Trust - and its subsidiary Awen Trading Ltd. require the services of an independent specialist to support its decision making and planning of hospitality, food & beverage services.

With a positive order-book for functions throughout 2022/23 and filling-up for 2023/24, now is a good time to take stock and ensure that our hospitality services will be fit for the future. We want to learn how we can stand-out from the crowd and be comfortable with our chosen market position.

This brief is intended to cover the whole of Awen Trading Ltd.’s food & beverage locations and products with a particular focus on the future of Bryngarw House.

Whilst there are inter dependencies between the various operations which should be considered, the work should be presented so as to clearly present findings and recommendations across:

a. Arts Venues trading operations (this could also be split as Bars and Café)

3 Conditions for Participation

3.1

Minimum standards and qualification required

1. Tenders must be submitted through the Sell-to-Wales portal. Awen Cultural Trust will not consider submissions received by any other means unless prior agreement has been sought. Bidders are advised to seek their own confirmation that the submission has been successfully received by Awen Cultural Trust.

2. Tenders must be received by Awen Cultural Trust no later than the date and time specified on page 1 of this document.

3. Tenders will be subject to the terms and conditions as stipulated within this documentation. Offers made subject to additional or alternative conditions may not be considered and may be rejected on the grounds of such conditions. If you wish to propose an alternative offer you are advised to discuss the proposal in advance of submitting your tender.

4. It is the responsibility of each bidder to obtain for themselves at their own expense all information necessary for the preparation of their tender. It must be clearly understood that Awen Cultural Trust is not liable for any costs incurred by the bidder in the preparation of its response to this invitation including any presentations and or demonstrations.

5. Information supplied by Awen Cultural Trust (whether in these documents or otherwise) is supplied for general guidance in the preparation of the tender. The bidder must satisfy itself by its own investigations the accuracy of any such information. No responsibility is accepted by Awen Cultural Trust for any inaccurate information obtained by the bidder.

6. Bidders are advised to ensure that they are fully familiar with the nature and extent of the obligation to be accepted as no variations or alterations or allowances shall be accepted as a result of their lack of knowledge of those obligations once a contract is effected between the Awen Cultural Trust and the successful bidder.

7. All information supplied by Awen Cultural Trust in connection with this invitation to tender shall be regarded as confidential by the bidder except that such information may be disclosed for the purpose of obtaining sureties and tenders necessary for the preparation of this tender.

8. Bidders are required to keep their offers open without any variation to the submitted tender for a period of 90 days beyond the tender return deadline.

9. Awen Cultural Trust does not bind itself to accept the lowest or indeed any tender and reserves the right to accept any tender either as a whole or as regards any one or more items as thought fit.

10. Awen Cultural Trust does not bind itself to purchase any goods, materials or services even if a tender has been provisionally accepted.

11. Awen Cultural Trust reserves the right to cancel this Invitation to Tender process at any point. Awen Cultural Trust is not liable for any costs resulting from any cancellation of this process or for any other costs incurred by bidders.

12. Evaluation will be based on a quality/price assessment. Please refer to Section 2.3 for further information.

13. Failure to provide all requested documentation will mean that your submission WILL NOT be considered.
