Abstract

The successful Supplier will be required to provide cleaning services for The FitzWimarc School.

School overview

The FitzWimarc school is a comprehensive 11-18 school with about 1700 students and 220 staff. The school is extremely proud of its excellent reputation, not only within the town of Rayleigh but across the county of Essex. Our traditional values, where a caring, supportive environment is reinforced by high standards of behaviour, allow each and every child to develop a lifelong love of learning

The school is oversubscribed and achieves above average examination results. A new block was opened in February 2020, housing the Dining Hall, and 12 classrooms and a new Reception and Front Office will open during the 2020-21 academic year.

Tender information:

The tender project is seeking to appoint a contractor whose initiative and innovation will be welcomed for the provision of cleaning services within the facilities for the school. The high-quality service levels proposed, should maintain excellent standards throughout, resulting in a pleasant environment for both the pupils and staff.

The basis and rationale that the Client requires the successful contractor to operate to at all times, is being able to provide a School that is fit for purpose and that the Contractor is proactive in the management of the contract, thus ensuring that all specifications are achieved and that the frequency of cleans is as detailed within the Tender Specification.

The contract being tendered is for three years in duration from 1st August 2021 until 31st July 2024 with the option to extend upon agreement with the school, for a maximum of a further 2-year period. The contract will be fixed price in nature, with the Contractor invoicing the Client for one-twelfth of the annual cost on a monthly basis.

It should be noted that the successful contractor will be expected to bring to the contract: innovation; new equipment; and cleaning methods, with BICSc standards being achieved, as a minimum, thus ensuring that the highest levels of cleanliness are maintained in all areas at all times and also ensuring that the productivity of the cleaning operatives is enhanced moving forward into the new contract term.

At present our Cleaning contractor provides equivalent of 301.5 hours cleaning per week. This cleaning is provided across 43 weeks of the year (39 weeks term time plus 4 weeks during school closure as agreed with the school).

Cleaning is provided by

•1 working supervisor

•14 cleaning operatives

There is one member of the team in addition to supervisor who attends during the day to service toilets.

The current incumbent contractor is Birkin Cleaning Services

Birkin adhered to the LGPS and3 members of staff who TUPE transferred to Birkin from the school are known to be members of this pension scheme.

Please be advised that the Trust has a minimum requirement for a contractor’s employer’s liability/ public liability and professional indemnity insurance of not less than £5,000,000.

The minimum annual turnover that your company must have achieved to be considered for this opportunity is £1m

The annual value of the current contract is £ 178,950 and therefore the total value of this contract over the maximum 5-year term is £894,750
