Abstract

Multimedia equipment. Mobile telephones. The British Museum is looking for a supplier to provide on a monthly lease basis or outright purchase model portable, easy to use Mobile Devices that the British Museum will hire out to visitors to support their visit around the permanent galleries and for selected special temporary exhibitions.

The British Museum will request candidates in the Invitation to Tender documentation to price for lease and / or outright purchase options for the Mobile Devices. The British Museum shall decide at Contract Award stage which of the purchasing models represents best value. Please study the Specification to ensure that you are able to meet the British Museum’s requirements.

Prospective candidates should particularly note the following requirements of the Specification for the Mobile Devices:

Operating System: Android 4.4 or equivalent.

Screen size: 4.5" minimum diagonal; 6” maximum diagonal.

Memory: minimum 32GB to accommodate all languages, either built in the device or added with an SD card. RAM minimum 1.5 GB.

WiFi: required for over the air updates to software, content and analytics download.

Battery Capacity: should require no more than 1 recharge per day assuming up to 3 hires per device per day of 2-4 hours each between 10:00 to 17:30.

The project is due to launch to the public on 1.12.2015. This initiative is a development to the current project (ending on 1.12.2015), in which the Museum presently uses smartphone devices as Multimedia guides for some of its special temporary exhibitions and audio visual devices for its permanent galleries. For this new procurement, we require cost-effective Mobile Devices that will provide the functionality we require without sacrificing on customer experience.

The British Museum will be developing the content and leading the interface design and software development. It will manage the hire of and revenue collection from the Mobile Devices in-house. In addition to the Mobile Devices themselves, we wish the successful candidate to provide supporting accessories including charging racks, headphones and lanyards. The British Museum may also require the successful candidate to provide occasional ad hoc integration expertise for the software and content on the Mobile Devices. The successful candidate will also provide on-going support and maintenance of the Mobile Devices for the duration of the contract.

The number of Mobile Devices required for the permanent galleries is 1 000. A forecast of the number of Mobile Devices that the British Museum will require each month will be included in the Invitation to Tender document.

The Specification of the Mobile Devices that the British Museum will require for launch (December 2015) is detailed in the Invitation to Tender document, and is comparable to those offered by consumer smartphones on the market at this time.

The British Museum will also require the provision of Mobile Device Management (MDM) system software to enable on-demand updates to be made to application software and to the operating system. Such requirement is essential to continually provide the British Museum visitors with the best multimedia guide experience the market has to offer.
