Title
Secure storage and distribution facility for Careers Wales

Description of the goods or services required
Careers Wales are seeking to appoint a secure storage and distribution facility for our promotional materials and printed stock.
The contract is likely to start in June 2026 for a 3-year duration.
In our current storage facility, we have 53 pallets, but this number may fluctuate. Current product lines include large and small items, including, but are not limited to:
Large items:
• Marquees
• Chairs
• Tables
• Exhibition panels
Stock levels of these items are minimal.
Smaller items classed as ‘giveaway items’ include:
• Leaflets
• Pens
• Paper bags
Stock levels of these items are generally high, 10,000 pens for example.

Total quantity or scope of tender
Storage requirements:
• Storage of stock - a mix of event equipment, promotional materials and printed stock.
• Receive delivery of a range of stock items in various amounts throughout the year. This could be to replenish existing items or adding new items.
• We will provide information on all deliveries including amount and supplier details before any delivery is attempted.
• New deliveries to be recorded and added to the stock inventory, ensuring up to date information on stock levels is provided and available.
Distribution:
• An online stock portal which provides full details of all items in stock including name/reference/amount and image.
• Access to online portal for at least 5 people.
• Via the stock portal – we will require the ability to order any stock items and get them delivered to a desired destination. This would generally be a Careers Wales centre, an employee’s home address or directly to an event (generally all within Wales).
• A range of delivery options including courier for next day delivery and larger items or standard Royal Mail.
Billing:
Consolidate storage cost and all orders per month and bill to a central point.

3 Conditions for Participation

Minimum standards and qualification required
Please provide answers to the following 3 questions.
Your answers will be scored percentage wise as stated in each question to allow for a scoring matrix.
Questions:
1: Experience - this will account for 60% of the bid score.
Please detail in no more than 200 words per example how you would fulfil this brief by giving 3 examples of how you currently provide a similar service (20% for each example).
2: Price - this will account for 25% of the bid score.
Please provide details of:
A: Price per pallet of stock, based on 53 pallets of varying items from product list.
B: Price for standard delivery in a 65-mile radius of:
• 500 A4 leaflets
• 6 x pull-up banners
• 600 pens
C: Price for account management.
3: Net Zero - this will account for 15% of the bid score.
Please detail in no more than 200 words your carbon reduction commitments, giving examples how you would minimise the carbon footprint in providing the service.
Procurement timeline
The following dates are indicative of the programme timetable to be followed. However, Careers Wales reserves the right to change the timetable at any time at its sole discretion. In this event, all suppliers will be advised of the revised timetable.
