Theatr Iolo wishes to appoint a Project Manager (PM) on a fixed contract basis, either as an individual or an appropriate business, with proven experience of managing similar pieces of work. The appointed PM will lead on the appointment and management of a design team and separate arts business consultant team to produce a feasibility study and will lead the organisation through all aspects of the process through to the completion and presentation of the final feasibility study recommendations.

Total quantity or scope of tender

The tender must demonstrate the ability to meet the objectives of the commission and must include a CV.

A methodology statement is required setting out the approach to the study, the key issues to be addressed, key milestones (including meeting frequency) and dates identified for the delivery of the study. The proposal document should include information on the tenderer’s experience and resources.

Upon receipt of the proposal, and after the tender return date, the CPG will evaluate in accordance with the criteria detailed within this document. It should be noted that as part of the evaluation process it might be necessary to seek clarification of proposals. This may take place through written communication, however, if deemed necessary potential Project Managers may be invited for interview.

To safeguard possible issues of commercial sensitivity, disclosure must be made of any related commissions which may have an impact on the conduct of this study.

Theatr Iolo will pay a fixed fee of £5,000 plus VAT (including all travel, subsistence and other expenses). A schedule of activity is required to indicate how this fee will be spent. The submission must also include the total cost broken down into its various elements, including day rates, travel and expenses. VAT should be shown separately.

Theatr Iolo may, at its own discretion, extend the closing date and time specified without request. Any extension granted shall apply to all tenderers and will be notified no less than 3 days prior to the specified deadline.

3 Conditions for Participation

Minimum standards and qualification required

The following criteria weightings will be incorporated into the above price/quality evaluation.

Quality and experience. Previous experience of working within the arts sector and understanding of the Welsh dimension - 30%

Detail your approach to project management and in particular how you would carry out this project - 70%

TOTAL 100%

Theatr Iolo reserves the right not to select any of the tenders submitted if they do not meet the brief.
