Abstract

We are looking to replace our existing on-premise housing management platform with a new cloud based system. The existing Capita system is designed to streamline and manage various aspects of housing management. Its primary purpose is to facilitate the management of social housing properties and their related services efficiently. The key functionalities and uses are: • Property Management: The system helps manage our property portfolio effectively. This includes tracking property details, maintenance schedules, and occupancy status. • Repairs and Maintenance: The system helps schedule and track repairs and maintenance tasks for properties, ensuring timely responses to tenant requests and compliance with regulations. • Repairs Financial Management: It assists in generating financial reports, repair costings, customer recharge information, monitoring financial performance, contractor invoicing and payments, and interfaces into a standalone finance system. • Asset Management: it aids in tracking and managing assets associated with our properties, such as fixtures, fittings, and appliances. • Compliance and Regulatory Reporting: It assists in ensuring compliance with relevant regulations and standards governing social housing. The system is used to generate reports required by regulatory bodies. • Data Analysis and Reporting: The system provides tools for data analysis and reporting, enabling housing providers to gain insights into their operations, identify trends, and make informed decisions. In addition to the above the system fully integrates with our scheduling and mobile working solutions although there is a desire to move from manual to dynamic scheduling. Overall, the existing Capita system is a comprehensive solution that enables management of our housing processes by centralising and automating various tasks. It helps us to better serve our customers and stakeholders while ensuring compliance with regulatory requirements. We have a full functioning cloud-based CRM system developed in-house in Microsoft Dynamics, any replacement system will need to be either Dynamics based or able to fully integrate with a Dynamics CRM to enable seamless functionality and a single holistic view of the of the customer and the associated property information. There is a future desire to explore additional functionality through the Microsoft Power Platform, IoT, ITTT, SMART appliances/devices etc.
