Contract for Hire of a Stage for BBC Proms in the Park - Singleton Park, Swansea

Description of the goods or services required

Swansea Council requires a Company to submit proposals for the supply of an outdoor stage for a classical concert event taking place in Singleton Park, Swansea. The event will be televised and broadcast throughout the UK with an expected audience of 8-10,000 people.

The event takes place on Saturday 14th September 2019 and the performance times for the stage will be between 5pm and 11pm. The stage will be located on grass, the ground is slightly sloping, a trakway pad will be laid to the rear of the stage position.

Keys Dates:-

Stage build 7th to 11th September

Handover 11th September (End of Day)

Stage babysitter 12th – 15th September

Stage derig 15th – 17th September

Total quantity or scope of tender

The successful contractor will be required to provide:-

• Auto CAD Drawings

• Structural calculations

• Structural analysis rigging load

• All health and safety documentation

• Qualified and experienced crew for install and dismantle

• A dedicated foreman for the site build and derig

• Accommodation and transport

• Equipment hire required to build the stage

• To complete a Section 8 NEC3 Engineering and Construction Short Contract

• Compliance with CDM Regs

• A programme of works for both the setup and derig as part of the method statement.

Swansea Council will provide:-

• Trakway for HGV access for the stage build and derig

• A water supply

• An electric supply 16a plus earth bonding of the substructure

• Crew welfare provisions (site cabin; toilets)

• On site outdoor storage for spare equipment and crates

• A site manager

• A full schedule for the build and derig of the event site

3 Conditions for Participation

3.1

Minimum standards and qualification required

The specification contains the dates the service will be required to be on. Due to the nature of events the successful companies will be expected to adhere to any agreed delivery/set up times and other terms which will form part of the contractual agreement.

Tenderers must provide a programme of works for both the setup and derig as part of the method statement.
