II.2.4) Description of the procurement
To accommodate the continuing growth of the Airport, the provision of a Concession Data Tool, which captures concessionaire sales information, has been identified as key to providing a service that is fit for purpose at the Airport today and will support the on-going development into the future.
The current process to gather sales data is inefficient and resource intensive. It requires manual entry of sales data into spreadsheets for individual concessionaires, which takes several hours every week. In addition to this, many concessionaires do not return sales data on a regular basis and require chaser emails, which takes up more resource time and effort. A number of concessionaires fail to comply despite all efforts. These delays prevent timely performance analysis by the commercial team and late reports produced by finance, which consequently leads to less time for commercial to carry out detailed analysis and reporting.
The benefits of introducing a Concession Data Tool are as follows:
— provision of more accurate, timely information to be received from concessions,
— improved data analysis and enhanced performance insights,
— more KPI’s and data visualisations will allow better analysis and improved reports,
— RAG (red, amber, green) status will aid in focusing efforts,
— BAL will be able to carry out its own analysis as opposed to relying on information received from concessions,
— greater visibility can be provided for the board and shareholders,
— improved data will allow for better budgeting,
— increased revenues for BAL with better SPP, IPP, ATV,
— better invoicing, more accurate and earlier billing,
— resource and efficiency savings through reducing manual effort for both concessions and BAL employees, which will improve user experience.
There are currently over 60 concessionaires trading at the Airport, with over 100 individual contracts and c 30 000 transactions per day all within the context of a 24/7/365 environment.
One of the aims of this project is to encourage wider adoption of the technology that will be delivered by the Concession Data Tool amongst all concessions trading at the Airport.
