Abstract

POVISION AND INSTALLATION OF A NEW EPOS SYSTEM, INCLUDING HARDWARE, SOFTARE AND SUPPORT Amgueddfa Cymru wishes to procure an EPOS provider to supply hardware, software and support for its Retail and Food & Beverage outlets across the estate, to be in place by April 1st 2026. This is due to the current EPOS contract expiring at the end of March 2026. The EPOS solution must be fit for purpose, able to underpin and support the growth of the Retail, F&B and online catering income streams. This will be achieved through an intuitive and streamlined user interface, supported by detailed reporting and stock management functionality. The EPOS solution must be able to upscale and grow with the business. For context: • Retail currently operates 9 outlets with 10 tills across 7 sites, forecast to generate £1.4million in turnover in 2025/26 • F&B currently operates 12 outlets with 13 tills across 6 sites, forecast to generate £2.18million in turnover in 2025/26 • Both F&B and Retail operate pop-ups and seasonal offers across the estate throughout the year, so any EPOS provider would need to be able to provide agile handheld EPOS solutions to support this, as well as the ability to deploy additional fixed tills to sites as demand requires.

• Integrate central financial data from all sites and disciplines to allow robust reporting against budgeting, forecasting, profitability, and employee scheduling and payroll

• To diversify and increase audiences, while increasing income and engagement opportunities

• To align and integrate with other Amgueddfa Cymru commercial platforms

• Confidence from stakeholders and front facing teams across the organisation in a system that is resilient and intuitive.

• A mobile system that supports flexible trading across fixed and temporary trading spaces, including option for digital ordering kiosks

• Robust F&B and Retail stock inventory management that allows full stock control, from ordering and delivery through to sales and stocktakes
