Clarifications
Please find below a number of clarification points:

1. Collusive Tendering (Schedule 4.3) stipulates that tenderers must not "enter into any agreement with any other person / organisation that may take part in the tender process". For avoidance of doubt, this does not preclude bidders from engaging with third party suppliers / contractors in order to obtain the information necessary to compile their bid (as per Schedule 1 paragraph 7), providing that bidders do not enter into any collusion with those third parties in order to attempt to gain a competitive advantage.

2. Submitted fees must include for all relevant project management activity related to the scope of the commission.

3. As per (2), Awen is seeking an inclusive package that covers all elements including the FF&E supply in scope and fit out. Bidders therefore need to provide assurance that they will take care of managing all arrangements with FF&E suppliers and fit-out contractors.

4. The budget of £120k is an indicative figure only – it may end up being lower or higher depending on exact quantities and specification of product. The budget will be required to cover design fees and products / furnishings specified within the commission.

5. The GIFA is 2422m2. Please note that the main hall (1st floor) is a substantial part of this area which doesn’t actually require anything in this scheme other than consideration and guidance in relation to colour schemes and finishes.

6. Awen does not have preferred manufacturers at this time and are interested to see which manufacturers are suggested by bidders. In the case of the shelving, we have suggested Brunyzeel at this stage in order to provide a level playing field on what will undoubtedly be a large element of the overall budget. However, we will fully expect to explore shelving options from other manufacturers during this commission.

7. The architectural design of the scheme has been completed by Purcell who have been involved since RIBA stage 2 and are commissioned through to the end of RIBA stage 7. Headland Design Associates are engaged as our heritage and interpretation specialists.

Clarification - payment terms
Section 3.1 states that "All prices are to be quoted excluding VAT on a standard 30-day net credit account basis, following delivery, installation and client sign-off."

While this is our preferred option, we would be open to considering staged payments for agreed tangible milestones. If bidders wish to propose this, you will need to specify what those stages are, and the value attributable to each.

Please note that we would not normally expect to release payment for furniture/equipment or the associated delivery/fit out costs in advance of the actual delivery/fit out taking place. The only exception to this may be for bespoke items of furniture which may require a deposit (we define bespoke as meaning items that are designed for and are unique to the commission, as opposed to catalogue items available in a range of finishes which may still only be manufactured upon receipt of a works order). We would discuss and agree such exceptions during the course of the commission prior to placing the supplier orders.
04/03/2020 16:34
Clarification - references
Bidders may include details of more than 2 referees if they are of relevance to their bid. However please note that Awen does not bind itself to contact any particular number of referees.
