Abstract

Caerphilly County Borough Council (the Council) are seeking tender bids for the support and maintenance renewal of Drivelock Endpoint Encryption. The system has been in place since 2015. Caerphilly Council require support and maintenance for the following appliances 2,500 iGel thin clients running a Linux OS, which connect to one of 150 server hosts utilising either: Citrix XenApp 6.5 delivering a Windows Server 2008 R2 x64 / Windows Server 2016 desktop on a one-to-many basis over terminal services 1,000 laptops and 2,000 desktop PCs running Windows 7/10 (mixture of x86/x64) The supplier will have a support desk that is operational Monday to Friday 08:00 to 18:00. The supplier will use the following criteria for their support calls: Priority Description Response Resolution High Significant disruption to solution, solution is not functioning. 1 hour 8 hours Medium Major service disruption, loss of some functionality within solution. 4 hours 12 hours Low What if? Questions. How do I? Questions. 8 hours 72 hours The supplier will ensure that all calls that are not resolved within the above resolution period are escalated to the support manager once the resolution period has been met. For High and Medium priorities further escalation within the management structure will take place every 4 hours that the problem is not resolved. Account management is seen as essential to the successful development of the product within Caerphilly CBC and the Supplier will therefore provide account meetings a minimum of biannually. All account management shall be at no cost to Caerphilly CBC. The account manager will inform Caerphilly CBC of changes to the product, its license model and product roadmaps which shall include end of life notifications.

Description of the goods or services required

Caerphilly County Borough Council (the Council) are seeking tender bids for the support and maintenance renewal of Drivelock Endpoint Encryption. The system has been in place since 2015.

Caerphilly Council require support and maintenance for the following appliances

Total quantity or scope of tender

The contract will be for a period of 1 year with an option to extend for a further period of up to 12 months.

Tenderers are required to provide pricing for the 1 year period and a price for the 12 month optional extension period.

The Authority reserves the right whether or not to take up the optional 12 month extension period.

Additional Information

As part of the process, the tender will be undertaken utilising Caerphilly CBC's Proactis Portal e-tendering system.

Therefore, companies are invited to follow the directions below to register on the system:

1. Log in to the Proactis Portal E-tendering system at https://www.proactisplaza.com

2. Click the "Sign Up" button.

3. Enter your details such as Organisation Name, Details and Primary Contact Details.

4. Please make a note of the Organisation ID and Login Name, then click Register.

5. You may then receive an email from the system asking you to Click here to activate your account. This takes you to Enter Organisation Details. Or you may be redirected straight to your account home page, depending on your browser.

6. Please enter the information requested, click Next and follow the instructions ensuring that you enter all applicable details.

7. In the Enter Product Classification screen please ensure that you select the Product Classification Codes (CPV Codes)that appear in the tender notice.

8. Accept the Terms and Conditions and then click Next. This takes you in to the Welcome window.

9. In the Welcome window please enter your Organisation name, Organisation ID and User Name (User ID). You now need to create your unique password. Please ensure that you make a note of this along with the other information already recorded.

10. Now click Done and you will enter the Supplier Home page.

11. From the Home Page, go to the “Opportunities” area, where you can search for this Opportunity. Click on the "Show Me Arrow" of the relevant opportunity and then click to register your interest on the relevant button.

12. Click the Opportunities Icon on the left of the page so that the page is refreshed, then, click on the "Show Me Arrow" of the relevant contract again and this will take you into the create a response section of the portal.
